Travel Agency Services for the Delegation of the European Union to Argentina

The European Union, represented by the European Union Delegation in Argentina (referred to below as the contracting authority) is planning to award the contract resulting from the above procurement procedure. The procurement documents consist of the contract notice, the invitation letter, the draft contract and tender specifications with their respective annexes. Objective of this tender

The Delegation of the European Union in Argentina requires the contracting of services from a travel agency to support travel organization (international and domestic airline tickets, bus and train tickets, hotel accommodation and vehicle rental) for the assistance of staff to the different work missions within and outside the territory of the Republic of Argentina.

The contractor must meet the following requirements that are considered essential for the correct execution of the contract and the quality of service required.

Characteristics of the service to be provided

The services covered by the contract include all the services normally offered a travel agency in connection with missions. The contractor must comply with the following requirements, which are considered essential for the correct performance of the contract and the quality of service required. The requirements for one type of service apply mutatis mutandis (changing what needs to be changed) to all types of service (plane, hotel, train, rent, etc.):

During the period of validity of the contract, the travel agency must demonstrate its capacity to satisfactorily meet the needs of the Contracting Authority in terms of business trips, including helpdesk, in the following areas:

1. accessibility by phone or email, as chosen by the Section of Administration;
2. provide a professional, high-quality, proactive and customer-oriented service;
3. provide optimal and profitable solutions: economic travel options in consideration to minimize transit time, connections and stopovers in cases where corresponds;
4. initiate and negotiate the best possible discount rates in order to provide the Contracting Authority, a quote for the corresponding service, at the best price market available;
5. advise the Administration Section and travelers, adopting an approach coordinated in the event that several people go on mission to the same destination;
6. provide an online consultation tool to facilitate the communication with the Contracting Authority and share information to prepare the travel or during mission;

The Contracting Authority has the right to verify at any time that the price offered is the cheapest available on the market, using different tools of reservation.

The contractor will advise the Contracting Authority on the practices and trends of the market that may lead to future savings for the latter, including the use of Travel booking tools with automated policy enforcement and enforcement travel.
