Provision of Conferencing and Accommodation Services

Item Description:

The World Health Organization (WHO) is seeking offers for the provision of conferencing and accommodation services and wishes to enter into a long term agreement (LTA) with suitable Contractors. The services are required in selected counties in the Country including Eldoret, Embu, Garissa, Homabay, Isiolo, Kakamega, Kisumu, Machakos, Makueni, Malindi, Meru, Migori, Mombasa, Nairobi, Naivasha, Nakuru, Nanyuki, Nyeri, Thika, Turkana and Wajir. Your institution is invited to submit a proposal for the services in response to this Request for Proposals (RFP. The contract is anticipated to run for a period of three years renewable subject to provision of quality services

WHO is a public international organization, consisting of 194 Member States, and a Specialized Agency of the United Nations with the mandate to act as the directing and coordinating authority on international health work. As such, WHO is dependent on the budgetary and extra-budgetary contributions it receives for the implementation of its activities. Bidders are, therefore, requested to propose the best and most cost-effective solution to meet WHO requirements, while ensuring a high level of service

Requirements

The required services will be provided by established institutions in the hotel and conferencing industry. The Contractor(s) will be required to provide the following broad services for group meetings:

1. Meeting / conference rooms including facilities;
2. Catering services for meetings;
3. Guest rooms (for short-term stay during the meeting duration).

The duration of the meetings is varied: from one-day non-residential meetings to one-week residential meetings. The service provider should have the following basic qualifications and experience:

• Shall apply international standards in providing conferencing and accommodation services.
• Shall have all the necessary equipment and facilities as well as experienced English-language speaking and professionally trained staff.
• Shall have conference room(s) and related services available in the hotel compound.
• Shall provide audio visual equipment in the conference rooms as required including screens and public address system.
• Shall have secure and adequate parking space for vehicles.
• Must have 24 hour uninterrupted electricity system.
• Shall have reliable internet connection in the guest rooms and conference facilities (meeting room, break away room and secretarial room).
• Shall be in a position to offer additional conference services when required including but not limited to:
  • registration of participants
  • transportation of meeting participants
  • additional equipment
  • printing and photocopying of meeting documents
  • Shall have the ability to outsource accommodation facilities from neighbouring partners in case of big-group meetings.
