Office 365 Technical Analysis Services

Scope of Work

The Technical Analysis Services for IT Collaborative Solutions will fall under the supervision of the Service Delivery Officer: Shared Services & Collaborative solutions, and be responsible for mainly the following:

Activities:

1. Provide business analysis and technical activities for SharePoint and document management related projects. Including design and automation E.G. Legal document management improvement project.
2. Oversee 2nd level SharePoint support from Cognizant ensuring continuity of service and updates / improvements to operational processes.
3. Coordinate offshore development team as required for Inside Intranet and DNA Portal site as required.
4. Continued migration / consolidation of SharePoint documents and sites.
5. Implement annual audit of 400 plus existing SharePoint sites with the site owners. Ensuring sites are correctly secured correctly, in use and archiving activities.
6. Implement modern SharePoint communication sites for organizational units.
7. Implement changes to improve Governance of Board Member On boarding and Off boarding with automated process improvement / expansion.
8. Complete implementation and handover of Office 365 backup solution (AvePoint).
9. Provide technical guidance to Salesforce Team regarding Document management for the Technical Review Panel, Grant Approval Committee and Governance Team document handling process.
10. Guidance and support of Yammer for the Global Health Campus communications group for social groups.
11. Build a governance plan and strategy around the implementation and rollout out of Microsoft Teams for collaboration.
12. Provide technical support for documents, forms, site and solution customizations.
13. Provide SharePoint customization, development and improvement.
14. Provide technical documentation as needed.
15. Provide Office 365 Advocacy including end user training on tools and processes.

Deliverables:

1. Design and implementation of agreed projects requirements.
2. Ensure continued service and improvements for 2nd level support.
3. Any custom developed solutions / integrations are maintained and documented.
4. Site consolidation and migration activities are complete to customer satisfaction.
5. Annual audit of sites, changes and clean-up activities are completed.
6. Provide technical specification, operational processes, configuration and training for end users on building and maintaining Modern SharePoint communication sites best practices.
7. Governance team process improvement delivered to reduce manual workload.
8. Handover of AvePoint backup solution to 3rd level.
9. Provide technical validation of Salesforce document process integration solution from the SharePoint / Office 365 perspective.
10. Provide Guidance on the continued building of usage of Yammer as a communication tool for social engagement across the wider Global Health Campus.
11. Microsoft Teams, Provide technical documentation on configuration, usage guidelines and governance.
12. Implementation of users’ change requests.
13. Workshops and user training.
14. Technical documentation.

Any other related activities not listed above in the SOW.
