Provision of Event Organisation Services for Administrative and Operational Meetings and Events organised in the Maltese Islands

Item Description:

The European Asylum Support Office (referred to below as the contracting authority) is planning to award the contract resulting from the above procurement procedure. The procurement documents consist of the contract notice, the invitation letter, the draft contract and tender specifications with their respective annexes. Purpose

The objective of the concluded framework contract is to provide reliable and high-quality Event Organisation Services including related services such as accommodation and transportation services for participants in any of the Agency’s events as specified in these Technical Specifications. These services will be delivered during any of EASO’s Expert or Internal Events organised in Malta, Gozo and exceptionally in Comino.

These services include, but are not limited to, the following:

• Conference Venue Rental, Audio Visual (AV) Equipment Rental, Catering Services, Coordination of Tasks allocated to third parties, management of the Logistics on site and Delivery of all Original Invoices;
• Organisation of Other Events such as Team Building and Staff Away Events and the provision of Animation, Entertainment or customised Cultural, Educational or Sports Activities during any of EASO’s Events;
• Organisation of Lunches and Dinners in restaurants and other venues around the Maltese Islands;
• Reservation of good quality Accommodation respecting Hotel ceiling prices for Malta unless otherwise specifically requested/approved;
• Organisation, provision and supervision of Transportation Services;
• Provision of Hostess/Steward/Event Assistance Services for Airport Arrival Duties, Supervising Transfers and other Duties at the Meeting Venue.
