Provision of International Couriers and Mail Services

The European Bank for Reconstruction and Development (EBRD) is an international financial institution that supports projects in over 30 countries, from Eastern Europe to central Asia and the southern and eastern Mediterranean. Investing primarily in private sector clients whose needs cannot be fully met by the market, the Bank promotes entrepreneurship and fosters transition towards open and democratic market economies. The EBRD is owned by 65 countries and two intergovernmental institutions, the European Union and the European Investment Bank (EIB). The EBRD has certain privileges and immunities such as exemption from Taxation, customs charges with all official correspondence being granted diplomatic immunities and privileges.

Objective of this tender

The Bank is launching a competitive tender process to identify one or more suppliers to meet some or all its London (Headquarters) HQ International Courier and Mail Services requirements as well as incoming courier items from Overseas Regional Office (ROs) to HQ. Potential suppliers will be able to bid for both International couriers and Mail services or individually. The outcome of the tender will determine whether the Bank will award a single or two individual contracts.

The Bank will tender 2 services:

1. International Courier (including Diplomatic couriers)
2. Mail Services (Downstream Mail Access)

The services will include, but not be limited to:

• International courier’s services including diplomatic service to and from HQ & other “overseas” offices of the bank.
• Online booking, tracking & quotation system for all required international courier services
• All associated packaging materials including diplomatic shipment labels and bags
• Live tracking of all international shipments and digital POD’s (proof of delivery) recorded for all courier shipments
• Assistance in the shipping of dangerous goods such as; lithium Ion batteries
• 24hr dedicated customer service and helpdesk support
• Consolidated invoicing
• Detailed monthly reporting including sap upload files in the required format.
• Dedicated account management
• Mail Services (Downstream Mail Access.)
