Insurance Brokerage Services for the EU Delegation to the USA

Item Description:

The European Union, represented by the European Union Delegation to the USA (referred to below as the contracting authority) is planning to award the contract(s) resulting from the above procurement procedure. The procurement documents consist of the contract notice, the invitation letter, the draft contract(s) and tender specifications with their respective annexes. General Context

The Delegation of the European Union to the USA is a diplomatic entity representing the European Union in the USA. Its office premises are located 2175 K Street NW, in the Foggy Bottom neighbourhood of Washington, DC.

In March 2019, the European Union has purchased the commercial building in which its offices are located. 2175 K Street NW is an 11-story office building. The building was constructed in 1982 and was renovated and expanded by three floors in 2010. The building is approximately 135,000 square feet (rentable square footage).

The building is partially occupied by the European Union Delegation to the USA (floors 7th to 11th), and also has 10 commercial tenants (floors 2 to 6th, plus retail spaces on floors B1 and 1).

The European Union also owns a Residence for its Ambassador, located 2534 Belmont Road NW, Washington DC. The Residence is approximately 9000 sq. ft. on 0.41 acres, with a garden and a swimming pool.

The Delegation leases 5 cars with diplomatic plate numbers that need to be insured in accordance with Department of State insurance requirements.

In addition, the Delegation needs to provide coverage for liability and/or physical damage caused by use of business cars for employee-owned and non-owned vehicles.

Services to be provided

The selected insurance broker (hereinafter referred to as ‘the Contractor’) shall provide the human and material resources necessary to provide the services to the Delegation of the European Union to the United States of America (hereinafter referred to as ‘the Contracting Authority’) in the non-exhaustive list below:

• A. Marketing and Quotation Services for Insurance Commercial Policies.
• B. Claims service coordination.
• C. Collecting the insurance premiums on behalf of the chosen insurance company.
