    Item Description:

    The United Nations (hereafter referred to as the “UN”) is seeking Expression of Interest from qualified companies to establish a long term contract for the supply and installation of Office System Furniture for the United Nations Economic and Social Commision Asia Pacific (UNESCAP) in Bangkok, the United Nations Economic Commission for Africa (UNECA) in Addis Ababa and the United Nations Office at Nairobi (UNON) in Kenya for a period of five (5) years contract.

    Office locations are within the premises of UNESCAP, UNECA and UNON.
    Below is a description of the requirements, further details shall be provided under the solcitation document: (1) Background:

    UNESCAP is the regional development arm of the United Nations for the Asia-Pacific region and it is headquartered in Bangkok, Thailand. UNESCAP premises in Bangkok presently comprise of three reinforced concrete buildings: the Secretariat Building, a 15-floor high-rise reinforced concrete building totaling 17,000 sqm of office space; the Service Building, a 4-floor reinforced concrete building with a total of 19,727 sqm of constructed area; and the United Nations Conference Centre with 50,730 square meters.

    The UNECA headquarters is located in Addis Ababa, Ethiopia accommodated in a premises comprised of 13 hectares of land with a total gross built-up area of 109,102 square meters which include 11 buildings. It is the 3rd largest UN real estate portfolio next to UNHQ in NY and UNOG in Geneva.

    In regard to Flexible Workplace Project, UNECA is currently focusing on the Niger Building with total of 20,090 square meters with 11 floors’ internal refurbishment. The key objective of the Flexible Workplace Project directly aligns with the mandate to optimize building usage and provide a consistent standard of office accommodation by employment type.

    UNON is a complex of reinforced concrete buildings which are scheduled for internal refurbishments to align with the United Nations Flexible Work Space Policy (FWS). The United Nations(UN) Gigiri complex in Nairobi, Kenya comprises approximately 146 acres and hosts approximately 50 UN agencies, funds and programs. The complex currently accommodates a population of roughly 3,500 staff in over 67,000 square meters of existing office, conference and common built space.

    (2) The scope of work for programme, supply and instalation of furniture within the renovated space will include but not be limited to the following:

    (a) Dismantle and dispose in an environmentally compliant way of the existing furniture prior to the commencement of renovation works.

    (b) Dismantle furniture in off-site storage and refurbish existing furniture which will be reused in the Secretariat Building.

    (c) Supply and install various types of furniture items in order to furnish a variety of modern office space environments – open work spaces, enclosed work spaces, meeting points, distribution points, collaborative areas, etc.

    (d) Provide programming and reconfiguration of furniture as it pertains to office space as well as maintenance and inventory management services for a period of ten (10) years.

    (3) The variety of loose furniture pieces shall potentially include, but are not limited to:

    (a) Single desk/benching systems (adjustable height, sit and stand type) and/or L-shaped, paneling system and egonomic seating for workstations (available in mutiple sizes; S,M,L) and other complementary add on items such as office tool holders, trays, planters etc.

    (b) Individual user office mobile pedestals with lockable drawers.

    (c) Ergonomic seating and tables for meeting rooms (4pax, 6pax,12pax) with technology ready features (totem poles, cable management, etc).

    (d) Sofas / armchairs and tables for informal breakout areas, coffee tables, low and high chairs/stools to be used at coffee counters and pantries.

    (e) Seating for phone booths and touchdown working areas. (f) Acoustic panels and white board type space divider panels. (g) Filing cabinets in multiple height sizes.

    (4) The furniture package shall have the variety and versatility to accommodate different types of work spaces including but not limited to activity based working and open office space environment, enclosed Director-level offices, enclosed meeting room spaces, collaborative spaces within the office space wings as well as collabortive spaces within lobby areas, expanded hallway areas, a business centre, (potentially) a nursing room, library, as well as temporary office space (swing space).

    (5) The furniture provider shall install all necessary components to provide electrical power within the work points. All wiring and components of the electrical system and LAN shall be concealed and installed in conformance with the host country regulations.

    (6) It is highly desirable that this furniture package include the various furniture IT intergration accessories to accommodate a modern work environment. Such technologies, that are highly desireable, but are not limited to, include: wall mounted meeting room / conference room reservation technologies, computer screen monitor mounts with wide range of height adjustment (to provide an acceptable range of ergonomic functionality), totem pole mounts for screens in meeting rooms, and other technologies necessary for the modern flexible work environment.

    (7) The supply of furniture and , the programming and planning layouts shall be implemented in several phases, with each phase consisting of several floors at a time.

    (8) The program schedule and fit out of the swing space locations will commence prior to the main works in the Secretariat building. The Furniture Provider is required to work in coordination with the renovation works contractor. During each construction phase, those areas not directly affected by the renovation works shall remain in use. Therefore, disturbances to other areas of the compound shall be kept at minimum during construction and furnishing.

    (9) During the RFP, invited companies will be encouraged to propose their own furniture solutions for requested configurations

    (10) The United Nations may decide to enter into a Long Term Agreement with one or several companies.

    (11) The overall scope under the contract shall have two major categories:
    (a) Goods: Supply of Furniture
    (b) Services: Interia desig, dismantling, storing, installation, after sale services etc.. .

    (12) Manufacturer’s authorisation to supply furniture in some countries might be required.
    (13) Bidders will be required to provide their catalogues along with their proposals and allow the United Nations to purchase off the catalogue if required.

    Companies who wish to be considered for receipt of the tender documents must submit their Expression of Interest for review by the United Nations. The vendor must be regsitered with UNGM at the website http://www.ungm.org.

    This EOI does not constitute a solicitation. The UN reserves the right to modify requirement or cancel it any time during the EOI phase or the solicitation process. Submitting a response to this request for EOI does not automatically guarantee that a vendor will receive an invitation to participate in the solicitation. Only those companies deemed qualified, upon completion of an objective evaluation of the vendor application, will receive the final Request for Proposal.

    IMPORTANT NOTE:

    The vendor MUST indicate if it has the capacity (or willing) to provide the services mentioned above for all three locations (Bangkok, Addis-Ababa and Nairobi) or for one location only.
