Item Description:
The European Centre for Disease Prevention and Control (ECDC) is an agency of the European Union, established by the European Parliament and Council Regulation 851/2004 of 21 April 2004. Its purpose is to identify, assess and communicate current and emerging threats to human health from communicable disease.
Description of the services & scope of the lots
This tendering procedure aims to acquire high quality catering and canteen services.
LOT 1 – Catering services
ECDC organises approximately 130 meetings at ECDC premises every year. Occasionally ECDC might organise events at external locations in the Stockholm area. These meetings, varying in size with up to 150 guests, require often catering services such as coffee breaks, lunches and sometimes dinners. Total number of invitees to ECDC meetings at its premises in 2019 is estimated to approximatively 4,000. Out of the estimated number of meetings, approximately 80% is estimated to generate coffee orders, approximately 45% to generate lunch orders and approximately 15% to generate dinner orders.
The contractor must be able to provide catering services for meetings up to 150 persons. In exceptional cases, the contractor will be expected to provide catering for larger meetings (up to 350 persons) (e.g. Christmas party, all staff meeting).
The services requested are catering services, lunches and dinners with all related services and equipment, provided mainly at ECDC’s premises on Gustav III:s Boulevard 40, Solna, and in exceptional cases at other venues in the greater Stockholm area. The requested services are detailed in Annex I. The contractor shall provide Labelling/Signage in English for all the dishes.
LOT 2 – Canteen services
Operate the ECDC canteen to offer breakfast and lunch to ECDC staff members and visitors. Please note that the canteen will not be open to the general public but only to ECDC personnel and registered visitors, contractors etc. The in addition to manual services the services shall include the provision of an automatic food and beverages vending machine and an automatic vending coffee machine.
As an indication, the average amount of coffee/tea to be served in the canteen is expected to be approximately 50 cups a day. The daily average amount of lunches served is expected to be approximately 40 warm dishes, 5 salads and 14 sandwiches. In addition, 10 buns and croissants are expected to be sold on a daily basis.
Most of the ECDC staff prefer to have a 30 minutes lunch break. The peak hours are between 12:00 to 13:00.
ECDC’s canteen is located on the top floor of the building. It consists of approximately 100 (hundred) m² kitchen area (including storage, dish washing room, office and bathroom/dressing room), an eating area for staff members and visitors of 130 (hundred thirty) m² and 45 (forty-five) m² of guest canteen.
ECDC provides a counter with a warm kitchen where food can be heated, as well as a storage and dish washing room; please note the kitchen it not suitable for cooking.
The Contractor is invited to propose an efficient and effective distribution and use of the canteen area (warm kitchen and coffee bar). Coffee can be served at the coffee bar or elsewhere in the canteen.
There are currently a food vending machine and an automatic coffee vending machine on floor 9. These machines will be replaced by the successful contractor’s machines.
Staff have the option of heating food in microwave ovens and eat in the canteen. Staff also have expresso coffee machines and filter coffee machine in the kitchenettes on each floor. This will remain during the contract. There are several lunch restaurants in the surroundings of the premises.
