Provision of Digital Staff Shuttles for UNON

Only those vendors meeting all of the following pre-qualification criteria will be invited to participate in the anticipated tender exercise:

The company to provide details of the company’s office location in Nairobi, preferably a ‘Google Pin’ pointing the exact location in themap. If bidder doesn’t have presence in Nairobi, bidder to provide joint venture (JV) or contractual agreement details of their third part representatives in Nairobi, and a google-pin locating office of the third party office in Nairobi.

Important note.

a)In case of partnership/ joint venture, when a consortium or joint venture submit a joint proposal as a single bidder on behalf of all of its members, for all mandatory criteria, AT LEAST ONE MEMBER OF THE JOINT VENTURES MUST MEET ALL,while the contract shall be signed with a prime vendor.The JV agreement has to be in existence when submitting the proposal (bidder to provide a copy of the JV agreement).

b)All parties of a joint venture or consortium shall be jointly and severally liable to the UN for any obligations arising from their offer and the contract that may be awarded to them as a result of the solicitation process.

c)The offer shall clearly identify the entity designated to act as the contact point to deal with the UN, as detailed in the bid/proposal. Such entity shall have the authority to make binding decisions upon the joint venture or consortium during the solicitation process,and any such authority shall not be altered during the solicitation process (and, with respect to the winning bidder, during the term of the contract) without the prior consent of the UN.

The company shall provide at least three reference letters from some of the current major clients providing passenger transport services to them.UNON shall require provision of focal person’s name and contact email/ telephone number for each of the company referenced.

The company shall include a written statement confirming their existing App has the ability to employ QR Scanner or Trip-Codes technology in fleet management, which can assist to recognize/identify a passenger detail and mark the passenger’s drop-off/pick-up point in any geographical location within the route in ‘real- time’.

Their existing App can be modified/customized to:

a. Calculate total shuttle cost per trip (distance (km) x rate/km) on real-time.

b. Approportionate the total shuttle cost to each shuttle user at the end of the trip (real-time) in relation to distance each staff covered while in the shuttle.

Their existing App is accessible by Mobile phone, iPad/computer through Android, windows and iOS.

UNON shall require the company to provide a written statement confirming that the company is capable of supplying shuttles of various sizes ranging from saloon, 9-seater, 14-seater, 25-seater, and 33-seater shuttles. They shall also attach five (5) vehicle logbook copies for each vehicle size as proof of vehicle ownership or joint ownership with financier.
